Account Information

When you create an account, we collect your email address, name, and organization name. Authentication is managed through Supabase Auth with secure JWT-based sessions.

Customer Service Data

When you connect your Zendesk account, we import support tickets, call recordings, and associated metadata. This data is used to generate AI-powered analysis, sentiment scores, and compliance reports for your organization.

Knowledge Base Documents

Documents you upload to the knowledge base are stored securely and used for AI-powered search and SOP compliance analysis within your organization only.

3. How We Use Your Information

  • Providing and maintaining the Vensor AI platform
  • AI-powered ticket analysis, call transcription, and sentiment scoring
  • SOP compliance analysis against your knowledge base
  • Generating dashboards, metrics, and business intelligence reports
  • Sending escalation alerts via configured integrations (e.g., Slack)

4. Third-Party Services

We use the following third-party services to operate the platform:

  • Supabase - Database hosting, authentication, and edge functions
  • OpenAI - AI-powered text analysis, embeddings, and call transcription (Whisper)
  • Zendesk - Customer service data integration via OAuth
  • Vercel - Application hosting and edge delivery
  • Sentry - Error tracking and performance monitoring

Each third-party service operates under its own privacy policy. We only share the minimum data necessary for each service to function.

5. Data Security

  • Personally identifiable information (PII) such as customer names and emails is encrypted at rest using AES-256-GCM
  • OAuth tokens are encrypted before storage and decrypted only server-side
  • All data is isolated per organization using row-level security policies
  • All communication is encrypted in transit via TLS 1.2+
  • Access to sensitive operations requires role-based authorization

6. Data Retention

Support ticket data and call transcripts are retained for 30 days by default. Audit logs are retained for 90 days. You may request data export or deletion at any time by contacting us.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Opt out of AI-powered processing of your data
